# Payment Terms

* Last updated: 24 August 2026

## 1. About These Terms

These Payment Terms apply when a player, Team manager, Family manager, or other payer uses Ultie to make, allocate, or record an Event payment.

They are a contract between the payer (**you**) and **ULTIE LTD**, company number 16415880, of 124–128 City Road, London, England, EC1V 2NX (**Ultie**, **we**, **us**, or **our**), for Ultie's payment-interface and Event-accounting features.

The Event Organizer is the merchant for the Event fee and may connect Mollie or Stripe as the active online payment provider. These Payment Terms do not make Ultie the Event organizer, merchant of record for the Event fee, or holder of participant funds.

By selecting the payment action linked to these Terms, you agree to this version and the Organizer's Event Refund Policy presented for that payment.

## 2. Other Terms

The Ultie Terms of Use and Privacy Policy also apply. If you act for a Team or Organizer, the applicable Team authority or Organizer Terms also apply.

The Event Refund Policy is supplied and owned by the Organizer. It determines refund eligibility, deadlines, amounts or calculations, Event cancellation treatment, and Organizer contact details.

If these Payment Terms conflict with the Event Refund Policy:

* the Event Refund Policy governs whether the Organizer will issue an Event-fee refund; and
* these Payment Terms govern Ultie's payment interface, status records, Team balance, and provider routing.

Nothing in either document reduces a mandatory right under applicable consumer or payment law.

## 3. Who May Pay

You must be authorized to use the payment method and to pay for the identified player, Team, or Event obligation.

For a managed child profile, supported payment actions are performed through the authenticated adult Family manager's Account and session. The Family manager remains the payer, and every receipt is issued and delivered in the Family manager's name. The managed child profile identifies the fee but is not the payer. Payments involving another participant under 18 must follow the age, role, and authority controls presented for the relevant payment flow.

A Team manager who pays or allocates Team funds confirms that they are authorized to do so for the Team.

## 4. Payment Parties and Roles

### Organizer

The Organizer:

* sets the Event fee, currency, due date, and refund policy;
* is the connected merchant for the active payment provider;
* receives participant funds through its connected provider account;
* decides refund eligibility; and
* handles participant questions about the Event fee, withdrawal, cancellation, and refund outcome.

### Active payment provider

The active payment provider (Mollie or Stripe):

* provides and processes the payment through the Organizer's connected account;
* receives the full payment credentials; and
* applies its own terms and privacy information.

### Ultie

Ultie:

* connects the Event payment request to the Organizer's active provider;
* records the payment status, amounts, provider reference, and Event-accounting information needed for the service;
* provides Team-balance and fee-allocation tools;
* receives available provider updates; and
* displays the resulting Event-accounting status.

Ultie does not receive or store full card or bank-account credentials, hold participant funds, decide refund eligibility, or initiate or approve an online-provider refund.

## 5. Provider Connection and Switching

A payment configuration may have only one active online provider. Connecting Stripe while Mollie is active, or Mollie while Stripe is active, replaces the current provider for future online payment attempts. Completed payments remain linked to the provider that processed them. Refunds, disputes, chargebacks, descriptors, and provider records for a completed payment continue through that original provider.

## 6. Price, Currency, and Payment Information

Before payment, the interface will identify the Event, Organizer, amount, currency, and applicable Event Refund Policy.

The Organizer may change the fee or currency for future payment requests where the product permits it. A completed payment's original amount and currency remain identifiable. Its current net amount may later change because of a refund or chargeback.

The active provider determines which payment methods are available based on the connected Organizer account, currency, payer location, and provider rules. Ultie does not guarantee that a particular card, bank, or local method will be available.

You must review the payment details before continuing and must not pay if the Event, player, Team, amount, or currency is wrong. Contact the Organizer before payment where correction is needed.

## 7. Payment Attempts and Status

A payment request is not complete merely because the provider payment page opens or a payment method is selected.

Ultie records whether the Event fee has been confirmed as paid and may also show an in-progress or unsuccessful payment-attempt state while provider confirmation is pending or a payment attempt does not complete.

Refunds and chargebacks may change the amount retained or available and the related Event-accounting record without becoming separate participation states. In a Hat, the confirmed payment, full-refund, and chargeback events have the application consequences described in Sections 8–11. Provider updates may be delayed. If money appears to have left your account but Ultie has not confirmed the payment, do not immediately pay again. Check the provider confirmation and contact the Organizer or support with the Event and payment reference.

A duplicate payment does not automatically create a Roster right or a duplicate Event entitlement. The Organizer must reconcile it under the Event Refund Policy and the original provider records.

## 8. Team Balance and Fee Allocation

In a team-based Event, a Team manager may fund the Team balance and allocate it to Team and player fees. A player on an approved Roster may pay their own assigned personal fee through the supported self-payment flow.

In a Hat, the participation fee is paid through the individual payment flow. A confirmed online payment accepts the corresponding Hat application.

Team balance is an Event-accounting record. It is not:

* a bank account;
* electronic money;
* a general stored-value wallet;
* transferable cash owned or held by Ultie; or
* available outside the relevant Event and Team flow.

Allocating Team balance to a player marks the accounting relationship supported by the product. It does not move money between bank accounts. When a player is removed from a Roster, the related allocation is released to the available Team balance while the original payment fact and financial history remain preserved.

A provider refund or chargeback may reduce the underlying net paid amount without automatically reversing or redistributing prior player allocations. The Team manager and Organizer remain responsible for resolving any resulting shortfall.

## 9. Manual Cash, Bank, and Cheque Records

An Organizer may record an Event fee as paid by cash, bank transfer, cheque, or another manual method supported by the product.

These are Organizer accounting entries. Ultie does not receive the off-platform funds, verify that they were paid, or provide the payment service. The Organizer is responsible for accuracy, receipts, refunds, and disputes for a manual payment. In a Hat, a confirmed manual payment accepts the corresponding application.

## 10. Withdrawals and Refunds

Withdrawing from an Event or Team does not itself guarantee a refund. The Organizer's Event Refund Policy determines eligibility.

For an online-provider payment:

1. you request or discuss the refund with the Organizer;
2. the Organizer decides under its Event Refund Policy;
3. if approved, the Organizer performs the refund through the provider that processed the original payment; and
4. Ultie receives available payment updates, tracks the current net amount of the original payment, and updates the related Team or participant balance.

Ultie does not initiate, approve, or reject the online-provider refund.

For a manual or off-platform payment, the Organizer performs any refund outside Ultie. A refund recorded manually in Ultie is an accounting entry only and does not move money. In a Tournament or League, a voluntary partial refund reduces the amount retained and does not automatically create a new amount due. A Hat supports full refunds only.

Refund timing and the destination payment method depend on the original provider, the Organizer's action, the original payment method, and the payer's financial institution.

In a Tournament or League, a refund does not automatically:

* remove a player from a Roster;
* cancel a Team application;
* reverse a Team-balance allocation;
* remove completed participation; or
* erase historical sports results.

Those consequences are handled separately by the Organizer and the supported Event flow. In a Hat, a confirmed full refund removes the corresponding application.

## 11. Chargebacks and Payment Disputes

If you do not recognize a payment, first check the Event, Team, provider descriptor, and confirmation, then contact the Organizer.

You retain any right to contact your payment provider or financial institution. A chargeback is handled through the provider that processed the original payment and the Organizer's connected account.

A chargeback may reduce the Event's recorded net paid amount and create a Team or player shortfall. In a Tournament or League, it does not automatically determine whether the participant remains admitted or whether an Event obligation is still due. In a Hat, a confirmed chargeback removes the corresponding application.

Do not use a chargeback to avoid an Event Refund Policy where the charge was authorized and the dispute concerns only Organizer cancellation or withdrawal rules. This does not restrict a legal right to dispute an unauthorized, fraudulent, duplicate, or incorrectly processed payment.

## 12. Corrections and Support

Contact the Organizer for:

* the Event fee or currency;
* the Event Refund Policy;
* withdrawal, cancellation, or refund eligibility;
* manual-payment records;
* Roster, Team, or admission consequences; and
* a missing Organizer-issued refund.

Contact <support@ultie.org> for an Ultie payment-interface, payment-record, or Team-balance problem.

Ultie may ask for information reasonably needed to locate and investigate the payment or accounting record. Do not send full card, bank-account, password, or authentication information.

## 13. Suspension and Refusal

Ultie or the active payment provider may refuse, pause, or restrict a payment feature where reasonably necessary for security, fraud prevention, legal compliance, provider requirements, technical integrity, or a material breach of applicable terms.

The Organizer may disable payments or stop accepting applications. A disabled payment route does not transfer the Organizer's refund or participant-communication obligations to Ultie.

## 14. Liability and Mandatory Rights

Nothing in these Payment Terms limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or another liability that cannot legally be limited.

Ultie is responsible for foreseeable loss caused by our failure to use reasonable care and skill in providing the Ultie payment interface and accounting features. Ultie is not responsible for:

* the Organizer's Event, fee, refund decision, or failure to perform an approved refund;
* the payment provider's independent processing, settlement, refund, dispute, or chargeback decision;
* a bank or payment method outside Ultie's control;
* an inaccurate manual-payment entry made by the Organizer; or
* loss caused by unauthorized use of your payment method where Ultie did not cause or facilitate the unauthorized use.

Nothing removes a mandatory consumer, card, bank, or payment-service right.

## 15. Changes to These Terms

The Payment Terms version and Event Refund Policy version accepted for a payment remain identifiable with the payment record and available on request.

Ultie may update these Terms for legal, provider, security, or product reasons. A material change applies to a future payment only after the updated version is presented through the required acceptance action. We do not change the contractual rules for a completed payment retroactively.

Typographical, formatting, contact-detail, and non-substantive clarification changes may be published without a new acceptance for a completed payment.

## 16. Governing Law and Disputes

These Payment Terms are governed by the law of England and Wales.

If you are a consumer, this choice does not remove mandatory protections or court rights where you live. You may bring a claim in any court applicable consumer law permits.

If you are not a consumer, the courts of England and Wales have exclusive jurisdiction unless another applicable agreement states otherwise.
